Job Description

Overview

The HR Executive is responsible for the day-to-day operational delivery of HR processes across the employee lifecycle, with a particular focus on recruitment support, onboarding, timesheet reporting, payroll processing, and employee benefits administration. Working closely with the wider HR team, the role ensures HR operations run smoothly, accurately, and in line with company policies and legal requirements. Key Responsibilities

  • Recruitment & Onboarding 
  • Support recruitment activities including posting vacancies, screening CVs, conducting initial screening calls, and coordinating interview logistics with hiring managers and Directors. 
  • Assist with employment contracts, offer letters, and onboarding documentation, ensuring accuracy and compliance with labour laws and internal policies. 
  • Coordinate the onboarding and induction process for new joiners, including systems access, welcome communications, and induction sessions. 

Timesheet, Reporting & Payroll

  • Prepare weekly, monthly, bi-annual, and annual timesheet reports, cross-checking data across systems for accuracy.
  • Support the monthly payroll cycle — generating payroll, checking payslips, and preparing submissions — ensuring accuracy and timely processing.
  • Maintain and update the Employee Cost Database and related reporting on an ongoing basis. 

Employee Lifecycle & Administration

  • Maintain and update employee records (HRIS, employee files, contracts, certificates, benefits) in line with GDPR requirements. 
  • Support post-probation processes, including tracking review dates, documentation, and health insurance administration. 
  • Process employee disbursements (courses, subscriptions, memberships) in line with contractual entitlements and company procedures. 
  • Assist with offboarding processes, ensuring checklists are followed and documentation is completed accurately. 

General HR Support

  • Act as a point of contact for employees on day-to-day HR queries. 
  • Liaise with relevant entities on IIS funding schemes and CPE/MIA accreditation requirements. 
  • Ensure employees are adhering to company processes, policies, and procedures. 
  • Contribute ideas and suggestions to improve HR processes and the wider function. 
Requirements
  • 2-3 years' experience in an HR or HR administration role, ideally with exposure to payroll or timesheet processes.

  • Proactive and solution-oriented mindset.

  • Team player with a collaborative working style.

  • High level of integrity and professionalism.

  • Curious, ambitious, and eager to learn.

Education and Experience
  • A minimum qualification in Human Resources, Business Administration, or a related field is required.

  • Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.

  • Familiarity with employment law would be beneficial.
